We recently undertook a comprehensive process review for a long-standing client to streamline their operations, release valuable time, and enhance their overall efficiency. Previously, the client spent hours each week manually compiling and mailing paper receipts, supplier bills, and statements. To address this, we designed new processes that included setting up a shared email account for forwarding digital receipts directly to us. This not only reduced the need for printing and mailing but also provided us with more comprehensive and timely information, enabling proactive management of the client's accounts.

We further enhanced their workflow by introducing a mobile app that allowed the client to photograph and upload paper receipts directly into the accountancy system. This move towards digitisation streamlined record-keeping, ensuring that every transaction was securely documented and easily accessible for any necessary audits, such as those by HMRC. Additionally, this new process reduced the need for maintaining multiple copies of records, thus saving time, gaining control and reducing clutter.

Recognising the importance of freeing up even more of the client’s time for business growth, we trained them on using the sales ledger section of the accountancy software. This eliminated manual errors common with word processor based invoices, ensured accurate VAT calculations, and improved the tracking of payments and collections. Automated follow up and credit control communications further streamlined their operations.

By outsourcing these tasks to us as professional advisors, the client was able to reclaim valuable time, allowing them to focus on marketing and business expansion. The newly designed processes not only improved efficiency, allowing the client to gain control, but also positioned the client for sustained growth. With these systems in place, the client could better manage customer and supplier relationships, ultimately leading to increased productivity and the freedom to concentrate on higher-level business activities.
